Write the term and named place together

Record the agreed delivery rule, version and exact place rather than using an abbreviation alone. ICC materials describe delivery rules as allocating tasks, costs and risks. They must be incorporated into a clear written commercial agreement.

Normalize quote boundaries

Ask each supplier to identify what is included at origin, during transport and at destination. Clarify insurance, clearance arrangements, duties or taxes where relevant, and unloading. Comparable product prices can still conceal very different delivery obligations.

Confirm the route can carry the package

Provide actual packing data and disclose batteries, motors or other sensitive components. The logistics provider should review feasibility and exclusions. A quotation for a different package or destination is not a reliable substitute.

Record exceptions before acceptance

List excluded charges and buyer tasks in the comparison sheet. Resolve unclear items with the responsible supplier or adviser. Avoid turning a convenient delivery label into a blanket assurance about total cost, regulatory acceptance or access to the receiving site.

Procurement checklist

  • Record term, version and named place.
  • Compare included stages and exclusions.
  • Confirm package and receiving-site assumptions.

Frequently asked questions

Is the shortest quote automatically the clearest?

No. It should still state the responsibilities and exclusions needed for an informed comparison.

Can the same term produce different offers?

Yes. Different named places, services and agreed exceptions can change the practical scope.
