Collect Battery Shipping Documents Early

Battery transport should be reviewed while the equipment package is still being specified. Waiting until collection can expose missing information and unsupported assumptions about the route.

Identify the battery precisely

Request manufacturer, model, chemistry, nominal voltage, energy rating and pack weight. Photograph the label when available. Keep the pack identity distinct from the motor model and from a cell model that may appear in a supporting document.

Request traceable supporting records

Ask for the applicable UN 38.3 test summary and other information required by the qualified shipper. Match model descriptions and manufacturer details rather than accepting a document simply because it contains the phrase lithium battery. Clarify discrepancies with the supplier before dispatch.

Describe the actual shipment

Record origin, destination, mode, quantity and whether batteries are shipped alone, packed with equipment or installed. IATA guidance concerns air transport; other modes have their own requirements. Packaging, state of charge and carrier restrictions need current review by competent parties.

Keep acceptance conditional

A test summary is one part of the review and does not itself guarantee carrier acceptance. Do not treat passenger baggage rules as a freight approval. Confirm responsibilities, required documents and the accepted transport plan in writing before finalizing timing or a delivered-cost quotation.

Procurement checklist

  • Match battery label and document identity.
  • Provide route, quantity and packing configuration.
  • Obtain current shipper and carrier review before dispatch.

Frequently asked questions
