Use decisions as milestones

Start with specification acceptance, artwork approval and any sample decision. These are more useful than a single promised finish date because they identify what the buyer and supplier must complete before production can advance.

Define evidence for each stage

Agree what will be provided at material preparation, assembly, inspection and packing where appropriate. Evidence should identify the order and configuration. Generic workshop footage cannot establish the progress of a specific purchase.

Record dependencies and exceptions

List items that depend on external suppliers, documents or approval. Ask how a late decision or unavailable component will be reported. A milestone schedule is useful only when uncertainty is visible and responsibility for resolving it is assigned.

Plan the dispatch handover

Include document review, packing data, inspection acceptance and collection arrangements. Avoid treating completion of assembly as readiness for international delivery. Keep revisions dated and obtain written confirmation when the agreed schedule changes.

Procurement checklist

  • Tie milestones to approvals and evidence.
  • Assign owners to unresolved dependencies.
  • Include document and dispatch readiness.

Frequently asked questions

Does a workshop photo prove my order is on schedule?

Only if its connection to the specific order and stage is established.

Should freight planning wait until assembly ends?

No. Packing and documentation requirements should be reviewed early enough to avoid a last-minute delay.
