Compare Supplier Quotes on the Same Basis

Normalize configuration, quantity, packing and delivery assumptions.

Two blank quote sheets with matching boat photographs and a calculator

Normalize the product first

Create one row for the selected model and separate lines for floors, accessories and options. Record unanswered specification questions. Comparing totals before the package is aligned can reward an offer that simply excludes more items.

Separate recurring and one-time costs

Identify sample, artwork, tooling or other stated setup charges separately from production items. Ask how quantity changes affect the offer. Do not assume that a lower unit figure offsets every additional cost or commitment.

Add delivery and evidence columns

Include packing data, delivery rule and place, lead-time assumptions and required documents. Record what evidence supports each key claim. Mark estimates clearly rather than making them appear as confirmed specifications.

ItemRecord for each offerFlag if missing
ConfigurationEnter model, dimensions, construction, floor and option revision: ___Flag any unspecified or different configuration before comparing totals.
AccessoriesList included items, quantities and exclusions: ___Flag items shown in images but absent from the written scope.
QuantityEnter order quantity, minimum order quantity and the quantity basis for each price: ___Flag unclear minimum quantities, mixed price tiers or unpriced options.
PackingEnter units per package, package dimensions and gross weight: ___Flag missing or estimated packed dimensions and weight.
Delivery term and placeEnter the quoted delivery term, named place and included transport stages: ___Flag an unnamed place or unclear freight, duty and final-delivery responsibilities.
EvidenceEnter document title, model scope, revision or date and open requests: ___Flag unsupported claims or documents that do not cover the selected model.

Decide with visible exceptions

Summarize the remaining risks and questions alongside price. Keep the accepted quote revision and explain any approved exception. The worksheet supports a decision; it does not replace technical review, supplier verification or the written agreement.

Procurement checklist

  • Align the exact configuration before totals.
  • Separate setup, product and delivery costs.
  • Keep open questions visible in the decision.

Frequently asked questions

What makes two quotes comparable?

The same configuration, quantity, packing and delivery assumptions, with differences and exclusions explicitly recorded.

Should uncertain values be entered as zero?

No. Mark them as unconfirmed so missing information cannot create a misleadingly low total.
